INSTRUCTIONS FOR THE PREPARATION OF THE PROCEEDINGS

 

PREPARATION OF THE TEXT FOR PUBLICATION

 

  • Kindly read and follow these indications carefully as the reproduction of conference papers will be made directly from the texts sent by authors.
  • In order to obtain a high quality reproduction of the text, photos, tables and graphics, it is essential that we receive the originals, a hard-copy in WORD 7 PC format. A model page in the style required may be consulted on the PSIP’99 Web site at the following address :

  • May we remind you that the Programme Committee authorises a text of 6 pages maximum including figures and graphics for each oral or poster text selected. It is not necessary to include a cover page.
  • The title (which should be less than sixteen words long) and the abstract must be in English. They must both precede the full text in order to provide a summary for the reader.
  • The names of all co-authors should be indicated. Addresses must be complete.
  • The complete text must be in English.
  • If the intervention has several authors, the name of the principal author who will present the paper must be underlined.
  • The text must not include any company logos.

  • In order to protect your text from possible damage, please use a strong envelope and send your documents by Air Mail or Express courrier to the following address :

  • Your text in its entirety will be examined by the Programme Committee. It is possible that the Committee may ask you to make a few modifications to the text. We therefore advise you to keep a copy of your text in case you should have to modify it.
  • Besides the text of your oral text, the envelope must contain :

- a written commitment by the principal author/speaker at the conference,

- a written authorisation for the companies or organisations concerned and their collaborators, giving permission for the text to be published,

- biographical information regarding the authors (to be completed by each co-author)

Abstract

The abstract in English is placed in the left-hand column and starts at 8.3 cm from the top of the page. It will not exceed 15 lines.

 

Page 1

 

Title The title of the paper is placed flush on the left-hand margin of the column at 3.5 cm from the top of the page ; it runs across the upper portions of both columns. The title of the paper should be given in English.

The name of the author(s), the company and organisation(s) and the mailing address(es) should follow on separate lines.

Use a Univers, Arial or Times New Roman (or equivalent) PC font of point size 12.

Author B is in this case the principal author.

 

Development Use a same-PC font (or equivalent) of point size 10 and a 0.9 spacing. The text starts on the first page on the left-hand column under the abstract. The text of the paper will be typewritten in two columns.

 

Pages 2, 3, 4, 5

 

The text should begin at the top of the page.

1. Manuscripts must be typed in two columns onto a page of 21 x 29.7 cm paper. Use one side only in the font indicated above of point size 10.

2. The margins for 21 x 29.7 cm paper should be : top and bottom margins = 2.0 cm, left and right margins = 1.7 cm. A gutter of 1.0 cm should be left between the two columns.

3. Manuscripts must be typed single-spaced.

4. Send a good-quality hard-copy of the document.

5. Hand lettering must be avoided.

6. Use double spacing between paragraphs

 

 

Headlines

Major headlines are underlined and centered in the column.

Ordinary headlines are underlined and placed flush on the left-hand margin of the column on a separate line.

Sub-headlines are underlined and start on the left-hand margin. The paragraph should start on the same line.

 

References List and number all references at the end of the paper. When referring to them in the text, state the corresponding reference number in square-brackets form as shown here : [1].

 

Numbering When numbering equations, enclose numbers in parentheses and place flush with right-hand margin of the column.

Pagination In order to avoid any error, please number the sheets on the reverse side; we shall compose the overall pagination when the page lay-out stage is reached.

 

Illustrations

 

* The illustrations may cover both columns.

 

Drawings and Photographs Line drawings and photographs should be reduced to their proper size and inserted as close to their reference in the text as possible. Lettering should be the same size as the rest of the text. Supply original ink (not pencil) drawings, sharp contrasting photographs or graphics integrated in format Word 7 PC. Omit all non-essential illustrations.

 

Captions Captions should be typed single-spaced and positioned underneath the figures in the same size as the rest of the text. Allow for extra spacing between a caption and the text.

 

Tables Typewritten tables should not be reduced in size. Use the same lettertype as the text. Small tables should fit within one column. Larger tables can run across two columns preferably at the top or the bottom of a page. A table should have a short heading. Allow for extra spacing above and below a table to separate it from the text.

 

Last page

 

If the end of the text does not completely fill both columns, make sure that the latter contains an equal amount of text.

ORAL PRESENTATIONS

 

The session chairmen will be asked to keep very closely to the timetable and, in particular, the exact time for the beginning of each paper. Speakers should therefore plan accordingly.

The session chairmen are responsible for presenting the paper and authors, instigating and upholding debate and keeping a close eye on the time. With this in mind, speakers should prepare a short biography which will be used on this occasion.

Speakers should bear in mind that a reading speed of 150 words per minute is the maximum number usable for the text to remain comprehensible. The presentation should last between 20 and 25 minutes in order to leave sufficient time for questions and remarks. The total time allocated for presentation is 30 minutes.

 

 

AUTHORISED TYPES OF PRESENTATION SUPPORTS

For oral presentations, transparencies and slides are authorised, with a preference for transparencies which ensure the best possible quality of presentation.

Should authors wish to use a type of presentation different to that of the traditional overhead projector, they must inform the conference organisers :

PREPARATION OF TRANSPARENCIES

 

To ensure the transparencies are legible from the back of the conference room, the size of the printed letters must be approximately 13 mm high. In addition, since the dimensions of the transparency itself are 21 cm x 29.7 cm (ISO A4), it is preferable not to include more than 10 lines or equations per page. It is recommended that the transparencies be used in horizontal format.

Transparencies copied directly from documents are not generally conform with the above instructions and are therefore not acceptable for the conference.

All lines, curves, table frames, etc. must be sufficiently thick in outline to ensure they are legible.

In order to improve the transparencies it is possible to use colour. Try preferably to use strong colours such as purple, blue, green and red. Brown and yellow are not easily legible. It can be useful to include colour for important symbols in an equation, for example.

As a guideline, speakers are recommended to provide between 2 and 3 minutes commentary on each transparency.
